Licencing
How much does 4Matrix cost?
4Matrix Cloud: For secondary schools, the annual licence fee is £1495 + VAT for KS3/KS4 analytics, and £1995 + VAT for KS3/KS4/KS5* analytics.
If you are a MAT with multiple schools, small school (less than 400 pupils) or a college/6th Form only*, please contact us for a quotation.
*Please note that the key stage 5 features are due to launch late summer 2025.
There are no onboarding fees, and the only chargeable extras are for our optional, bespoke training packages and premium webinars.
4Matrix Fusion: The cost for Fusion is tiered according to the number of schools in the group. 4Matrix Fusion requires each school in the group that wishes to share data to have an active 4Matrix Desktop/4Matrix Cloud licence. Please contact us for a quotation.
Can I have a demo of 4Matrix?
How does the trial work?
4Matrix Cloud: On signing up for a trial, you are agreeing to our Terms and Conditions and Data Processing Agreement. You can cancel your trial at any time by notifying us in writing. If you do not inform us that you wish to proceed beyond the trial period, your account will automatically close 30 days after your trial expiry date.
4Matrix Fusion: We offer a minimum 60-day trial. If you are new to 4Matrix, please contact us for more information about the 4Matrix Fusion trial and licence options.
Can we have a longer free trial?
Please contact us if you would like to extend your trial – if your school or Trust has not been able to try 4Matrix fully due to staff absence or the timing of the installation, we can extend your trial accordingly.
For 4Matrix Fusion, we offer a minimum 60-day trial. If you are new to 4Matrix, please contact us for more information about the 4Matrix Fusion trial and licence options.

Installation
How does it work?
Both 4Matrix Cloud and 4Matrix Fusion are cloud-based and require no installation.
4Matrix Cloud:
We aim to setup new customers with 24 hours of receiving their completed order/signup form.
4Matrix Fusion: We aim to setup new customers within 3 working days or receiving their completed order/signup form.
Which login methods are supported?
4Matrix Cloud: Single sign-on (SSO) is supported for Microsoft and Google. You can also use individual logins that are specific to 4Matrix. Multi-factor authentication is also supported.

Can I use 4Matrix on a Mac?
4Matrix Cloud: 4Matrix Cloud is cloud-based and hosted by us – it works on all major web browsers on any device.
4Matrix Fusion: Fusion is cloud-based and hosted by us – it works on all major web browsers on any device.
How does 4Matrix update?
4Matrix Cloud: 4Matrix Cloud is centrally updated by us, and no intervention is needed by the end-user.

How often is a database backup made?
4Matrix Cloud: The 4Matrix Cloud database is automatically backed up as part of our Microsoft Azure backup schedule. Full backups are taken once a week and kept for 7 days. Daily backups are made and kept for 7 days.
4Matrix Fusion: We host 4Matrix Fusion on a virtual server and this is managed and maintained by us. Daily backups are made and kept for 5 days. Weekly backups are made and kept for 2 weeks.
Importing Data
How does it work?
4Matrix Cloud: We provide an import wizard for Arbor and Bromcom, which imports pupil details, class populations and exam results in minutes.
For termly assessments including targets, predictions, mocks etc, we provide a spreadsheet import routine. We also provide an import routine for GIAP, which ensures that KS2 and KS4 prior attainment data is accurate.
4Matrix Fusion: There is a ‘data upload’ function within each school’s 4Matrix platform that allows them to send the latest data to the central Fusion database in just a few clicks. No data is directly imported into Fusion.
Which MIS does 4Matrix link with?
4Matrix Cloud: We provide an MIS data extract wizard for Arbor and Bromcom, with support for SIMS expected summer 2025. Our MIS import will import pupil information, class populations and exam results in minutes.
All other MIS users can import data using spreadsheets.
There is not a live link between 4Matrix and the MIS. This is a manually initiated process within 4Matrix, requiring the user to confirm the data they wish to import.
4Matrix Fusion: School data is ‘sent’ from 4Matrix Desktop to 4Matrix Fusion from each school. There is not a separate import mechanism for Fusion.
What else do I need to know about the import?
4Matrix Cloud: contains an awards database of over 1000 qualifications, pre-set with the latest DfE performance indicators. 4Matrix automatically accounts for the complexities and nuances between reporting years. Simply map your subjects to the correct awards in the database and they will handle accordingly, with the correct grades, points and KPI statuses.
4Matrix is series-based, and it’s possible to have any number of data series in the database. This means that you’re working with a ‘snapshot’ of data as it was at any given time during the year. Some tools allow the user to compare multiple series side-by-side, and ‘track’ performance over time.
UK GDPR Notes
4Matrix Cloud: 4Matrix Cloud is a fully cloud-hosted solution. Our Data Processing Agreement sets out the terms under which New Media Learning Ltd processes personal data on behalf of educational institutions using the 4Matrix Cloud software platform. It applies solely to data processed within the software and does not cover use of our website or other service delivery. For broader terms, please refer to our full Terms and Conditions.
Our data protection policies are frequently reviewed to reflect the changes introduced as part of the migration to 4Matrix Cloud, and further information will be available in due course.
4Matrix Fusion: Fusion is cloud-based and hosted by 4Matrix. No personal information is stored – pupil names are removed at the point at which the school sends their data to the Fusion database.

Is support included in the licence fee?
How do we contact 4Matrix?
We encourage all users to use our ticketing service on our support portal. We aim to respond to all tickets within 30 minutes.
You can also get in touch with us via live chat, phone and email. During term time, our offices are open from 9am to 4pm, Monday to Friday. For information on school holiday hours, please visit the news page. We usually open for extended hours on exam results days.
What training is provided?
We provide a 30-minute one-to-one remote training session for all new users, including those on a trial licence. This session is also available to schools/Trusts that have a change of Data Manager. Please contact us to book.
